Music School Policies and Regulations
1. Registering with the Centre des musiciens du monde
a) Students are duly registered with the Centre des musiciens du monde (CMM) once the cost of their lessons has been paid in part (through pre-authorized payments) or in full. Students may then begin or continue their session. The different course formats are detailed in the following sections: private lessons (1 student), semi-private lessons (2 to 4 students), group lessons and workshops (5 students or more).
2. Private Lessons (1 student) and Semi-private Lessons (2 to 4 students)
a) At registration, students are assigned a time slot for their lessons, based on their availability and their teacher’s.
b) Students agree that changes to their schedule may occur during the session.
c) Students and their teachers must be punctual and have all necessary equipment (instrument, sheet music, etc.). Late students will have their lesson shortened according to the scheduled time.
d) Students must be respectful of the CMM’s teaching spaces and facilities.
e) Students agree to complete the session (10 lessons) within a maximum of 3 months from the date of the session’s first lesson.
f) Students agree to attend all lessons on their schedule.
g) A maximum of one (1) excused absence per session is allowed. Beyond that number, an absence will be considered unexcused.
h) An unexcused absence will neither be made up nor refunded.
i) For private lessons: In the event of an absence, students agree to contact the CMM and the teacher concerned at least 48 hours in advance, by email or phone, to excuse the absence.
j) For semi-private lessons: In the event of an absence, students agree to contact the CMM and the teacher concerned at least 48 hours in advance, by email or phone, to excuse the absence. Depending on the status of the absence (excused or unexcused), the lesson will be postponed or cancelled for all participating students.
k) The CMM or its teachers may modify the lesson schedule during the session. If this occurs, the CMM and its teachers agree to notify students as soon as possible.
l) For semi-private lessons: If one of the students stops attending the session, the CMM reserves the right to pair another student with the remaining one, cancel the session, or offer the lesson at the individual rate.
m) The CMM is open according to the reception’s hours, regardless of weather conditions. It is the responsibility of students to check the Centre’s website for closure notices or to call the CMM at 514 397-9226.
3. Group Lessons and Workshops (5 students or more)
a) If the number of registrations for a lesson is insufficient, the CMM reserves the right to cancel the lesson, merge two (2) groups, or offer the lesson at the individual or semi-private rate.
b) Students agree that changes to their schedule may occur during the sessions.
c) Students arriving more than ten (10) minutes late may be denied access to the lesson by the teacher.
d) Students are responsible for arriving on the scheduled day and time for lessons. In the event of an absence, students may not make up the missed lesson, regardless of the reason for the absence, nor receive a refund.
e) When possible, depending on the planned calendar, a makeup week is scheduled at the end of each session. Students agree to be available at their lesson time in case a makeup lesson is scheduled.
f) If a lesson is cancelled by the CMM, that lesson will either be rescheduled during the makeup week or refunded.
g) The CMM or its teachers may modify the lesson schedule during the session. If this occurs, the CMM and its teachers agree to notify their students as soon as possible.
h) The last lesson of a session may take the form of a concert or a student performance, depending on the organization planned by the CMM and its teachers. This activity is an integral part of the learning path and then replaces the regular lesson.
4. Instrument Rentals
For certain lessons, the CMM offers students the option of renting a musical instrument from its stock for a limited period.
a) Students agree to use the rented instrument as intended, to take care of it, and to keep it in its case outside of practice periods.
b) For private and semi-private lessons, the rental is billed monthly, by automatic transfer.
c) For group lessons, the rental covers the duration of the session and the instrument must be returned at the last lesson.
d) Students agree to report to the CMM, as soon as possible, any problem or damage affecting the proper functioning of the instrument. All maintenance and repair work must be carried out by the CMM.
e) At the end of the rental, students shall return the instrument and its accessories to the CMM. The instrument and its accessories must be returned in perfect cosmetic and working condition. Any restoration costs will be the student’s responsibility. The instrument and all accessories provided must be returned in their original packaging, with students ensuring their safe delivery.
f) If the instrument is not returned for any reason (theft, loss, disaster, destruction, etc.), replacement costs plus a 15% administrative fee will be the student’s responsibility.
g) In the event of damage to the instrument for any reason, the cost of repairing the instrument will be the student’s responsibility.
h) No insurance is provided by the CMM. It is the student’s responsibility to verify that their personal insurance covers the instrument.
- Security deposit: Depending on the monetary value of the rented instrument, the CMM will request a security deposit, which will be refunded at the end of the rental once the instrument is returned in its original condition.
- Proof of insurance: Depending on the monetary value of the rented instrument, proof of coverage for the rented property will be requested (home, personal or liability insurance).
i) In the event of loss or permanent damage to the instrument (beyond repair), the student is responsible for paying the instrument’s purchase value (see the values listed for each instrument on the rental invoice).
5. Billing
a) Course sessions, whether private, semi-private or group, may be billed in three (3) ways:
- In one (1) payment;
- In two (2) equal payments, collected at regular intervals;
- In four (4) equal payments, collected at regular intervals.
b) Instrument rentals linked to private and semi-private course sessions are payable in advance and billed monthly, on the day of purchase, until the instrument is returned. Automatic payments will stop once the instrument is returned to the Centre.
6. Payment Methods
A) PRE-AUTHORIZED PAYMENTS – ELECTRONIC CHEQUES (WITH A VOID CHEQUE) OR CREDIT CARDS
- The credit card or bank account number is entered in the account holder’s file. Once the number is registered, only the last four digits are visible, ensuring the security of the account holder’s personal data.
- It is the account holder’s responsibility to provide a valid credit card or bank account number and to contact the CMM if any changes occur.
- Registering a pre-authorized payment method is mandatory for instrument rentals and for paying an invoice in multiple installments.
B) INTERAC E-TRANSFER
- Account holders may send an Interac e-transfer directly from their bank account to the following email address: finance@centredesmusiciens.com
Security question: Invoice number paid by the transfer
Answer: musique (no capital letter, no space)
C) DEBIT OR CREDIT CARD IN PERSON
- Payment by card or cash can be made on site during reception hours. Students then agree to pay their invoice in full before the first lesson begins.
7. Cancellation of Private, Semi-private, Group Lessons and Workshops
a) Students may end their course session at any time.
b) Session cancellations must be reported by email to the administration (info@centredesmusiciens.com) at least 48 hours before the next scheduled lesson. For students on automatic renewal, pre-authorized payments (debit or credit) are cancelled as of that point.
c) The full amount paid for lessons not taken is then refunded within ten (10) days of receiving the written notice.
d) A penalty (administrative fee) equal to the lesser of the following two amounts will be charged: $50, or an amount representing at most 10% of the price of the services not provided.
e) In the event of non-compliance with this policy, or for any other reason, including educational reasons, the CMM reserves the right to terminate a contract at any time.
f) Any situation involving the postponement of a workshop or session to a later date will be subject to the same policy as cancellations. For example, students registered for a winter group lesson session who wish to postpone their registration to spring must make the request at least 48 hours before the first lesson of the session.
8. Cancellation of Instrument Rentals
a) Students may end their rental contract at any time. This cancellation will take effect at the end of the current period and upon return of the instrument to the CMM. Rental contract cancellations must be reported by email to the administration (info@centredesmusiciens.com). Pre-authorized payments will then be cancelled as soon as the instrument is returned.
b) Rentals are offered on a monthly basis only, and only as part of an educational activity in which the student is registered.
9. Health and Safety Measures and Videoconference Teaching
a) Students agree to comply with the CMM’s health and safety standards. In the event of an epidemiological resurgence, these standards will be posted on the CMM website.
b) The CMM reserves the right to temporarily suspend in-person lessons for health and safety reasons. When possible, lessons will continue by videoconference, with the agreement of teachers and students, for the duration of the interruption.
10. Legal Guardians' Responsibility for Youth Activities
a) Legal guardians are responsible for their child until the start of the activities they are registered for, between activities (if applicable), and as soon as their activity or activities end. For safety reasons, running is prohibited in the hallways, classrooms and any other CMM space.
b) The CMM is responsible for participating children only during activity periods under the direct supervision of the teacher. Outside of these periods, notably before activities begin, between them, and after they end, responsibility remains entirely with the legal guardians. The CMM declines all responsibility for incidents, injuries, losses or damages occurring outside the scope of its supervised activities.
11. Harassment Prevention Policy
The CMM does not tolerate discrimination or harassment of any kind on its premises and has adopted a Psychological or Sexual Harassment Prevention and Complaint Handling Policy in the Workplace. Any student who signs a contract with the CMM agrees to comply with this policy. In the event of misconduct, students risk having their contract cancelled. 12. Consent and Assignment of Image Rights
By participating in CMM activities, you consent to images of you and your children being taken and used for archival and promotional purposes (on any web or print platform). These images will mainly consist of wide shots and group photos. Any close-up shot will require prior authorization. For any questions, please contact a CMM staff member.
13. Data Confidentiality
The CMM agrees not to disclose students’ personal information.
